Office Manager

Operations
team
Montreal, QC
Full time
Here at Transit, we’re helping build the cities we want to live in — with better bus service, fewer missed metro stops, and the safest bike trips ever. Each day, our app helps millions of people to get from a-to-b without their own car, and behind that app? There’s an office full of developers, designers, and urbanist dreamers who need your help as Transit’s new head of house!
It’s one of those kinda-tricky-to-describe-my-job kinda jobs, which sits somewhere between “logistics master” and “office wrangler”, not just focused on this-or-that particular task, but about projecting a sense of calm that persists throughout the company. You’ll ensure our Mile End HQ runs as smoothly as a Japanese bullet train by taking care of a range of tasks, whether it’s tweaking the feng shui of our office, refilling coffee beans, fixing the WiFi, or sending our employees’ battle-tested MacBooks to the laptop hospital for the occasional tune-up.
Thanks to your hard work, everyone else at Transit will be able to stay focused on their work and enjoy coming to the office, knowing that all the important “office things that gotta get taken care of” like coordinating with vendors, managing supplies, and event logistics are all taken care of. (And with masterful skill, bien sûr!)
No task too small? No logistical pickle too slippery to solve? No dropped balls when a day has you juggling multiple tasks like a transit-loving Cirque du Soleil performer? Then there’s no person better suited for this job than — hopefully — you!
📝 Responsibilities
Be the go-to person for anything related to Transit’s office, including events. You’ll welcome visitors to the office (from job interviewees, to random guests), handle mail and deliveries, and be the pointperson for Transit folks who need your help in the office. You’ll also be the person dealing with external teams like food suppliers, maintenance crews, and event organizers who use our office for occasional events (like Innovation Climat Montréal and Montreal’s Queertech)
Manage the little things that make the office a pleasant place to work from: make sure we never run out of the good espresso beans, snacks, or USB cables of every flavour.
You’ll help us delegate, supervise, and support in-office chores, help us with laundry, etc.
Flex those interior design muscles: identify ways to make our office better than ever. New décor? Bike racks? Acoustic panels? Novelty soap bottles? You are the master of our office’s AZUR train-themed, Aesop-dispensing soap bottle destiny.
Office equipment! You’ll set up workstations and order laptops for new employees so that they can hit the ground running, and do the same for existing employees whenever they need new gear
Buy and install tech equipment: alarm systems, speakers, projectors, TVs, AV systems, etc.
Troubleshoot minor technical issues (WiFi down? Meeting room TV broken? Is the espresso machine making scary noises again?) and find the right people to help you when you need it.
Same with triaging day-to-day office tasks: no task is too small. You’re not afraid to help when you can, from assembling IKEA furniture, to installing shelves, to fixing squeaky chairs, to unclogging whatever needs unclogging™
Coordinate between all of the wonderful helpers our office depends on: cleaning staff, plant waterers, AC fixer-uppers, carpenters, plumbers, the building concierge, and beyond
You’ll coordinate our weekly Lunch and Learns, monthly 5-à-7’s, and make sure the office is meticulously organized (someone’s gotta keep track of those European power adapters we’re saving for a rainy day!)
✅ Requirements
Being around people energizes you! You love helping people solve their problems! You’ll be in constant contact with lots of people at the office, dealing with a variety of tasks — this is a “never a dull moment” kinda job, and this should be something that excites you!
You’re handy! From debugging a coffee grinder, to solving IKEA furniture instruction riddles, to putting a TV stand together, to installing a bidet, you can do it all (and if you can’t, you can learn how!)
You’re organized, resourceful, curious, and when it comes to multitasking you’re flabbergastingly good. When office life throws at you a curveball, you can adapt and excel. Routines are great but so is being able to adapt on-the-fly!
You’re not the kind of person that waits for marching orders. You’re a self-starter — by the time someone asks you to fix the broken gizmo, you’re already halfway to Canadian Tire
Comfortable with modern day office tech (Google Sheets, Slack, Zoom, etc.). Simple IT things don’t stress you out and you can pick things up quickly!
Eye for design! There are SO many designers at Transit, and as our designated couch sourcer and assembler, we look forward to hearing your opinions on all things interior/industrial design
You’ve worked in an office management role before (or have transferable experience — if so, mention it in your email!)
Your French is plus-que-parfait and your English is good enough to order parfaits at a restaurant — 15% of our team works remotely outside of Québec, and so do many of Transit’s business partners.
You’re excited to work out of our picturesque Mile End office four days a week! (Relatedly: you’re based in Montreal and have the right to work in Québec!)
You’ve used Transit before and are passionate about cities, urban planning, bikes, tech, and design
Don’t feel like all the requirements apply to you but you still think you’d be a great fit for Transit? Don’t hesitate to apply!
💰 Compensation and benefits

When you’re in the office: you’ll be in urbanist heaven, surrounded by Mile End’s urban gardens, bike paths, BIXI docks, bus stops, a metro station, and limitless restaurants… cafés… bars… concert halls… bagel boutiques…
Communal lunch-and-learn with free food in the office each week
👨💻 A note on diversity
Public transit is used by overwhelmingly more women and people of colour than other modes of transportation. We try to make sure the diversity of our users is reflected in the team that serves them. Because when we include people of all races, genders, sexual orientations, ages, and identities — we end up building a better app for everyone who uses Transit.
We encourage candidates of all ages, genders, origins and orientations to apply. If you’d like to specify which pronouns you use, feel free to include that in your application email.
And if your lived experience has given you a unique perspective on all things transportation, mobility, accessibility, urbanism? Let us know, and we’ll make sure your application gets the attention it merits.
📬 How to apply
Send your CV in French to [email protected] before November 17th, along with a quick message that includes details about:
A recent hands-on project, and what you learned from it
Three of your personal superpowers which will help you in this role
Why you want to work at Transit!!!
A star ⭐ emoji in the subject line ;)
Make sure to include ALL that information! Otherwise we won’t be able to proceed with your application, and that would make us as sad as a party without you on the guestlist.
PS: When you apply, let us know how you heard about the position! Whispers, grapevines, middle-of-the-night Google searches? We’re dying to know.
PPS: Unfortunately, we don't accept in-person applications or singing telegrams. Make your application sing instead!
